Popular theories of event management focus on the importance of event planning process for organizers of events. Theories from Allen et al. (2002), Bowden, et al. (2001), Getz (1997), Catherwood &Van Kirk (1992), Goldblatt (2002) Shone and Parry (2001), Torkildsen (1999), and Watt (1998) assert that the event planning is a staged process. These theories and models generally accept that event organizations should strategically plan for the long term including there being a responsibility for the ongoing and long-term management of the financial and physical legacies of major events (Masterman, 2004). It is the function of event management that can keep in touch with the event’s participants and visitors, read their needs and motivations, develop products that meet these needs and build a communications programme which expresses the event’s purpose and objectives (Hall, 1997).    A comprehensive and well executed marketing and promotion plan will be developed to ensure the conference is a success. There will be a heavy emphasis on using new technologies, such as internet and email to identify and target potential delegates and communicate in a timely fashion with confirmed attendees. If success with this bid, we will be appointing, by tender, a Professional Conference Organizer (PCO) to assist with the logistics of organizing this conference. The marketing and promotion plan will include: ·         A dedicated conference website with an advance booking service for delegates, special offers such as early bird discounts, and useful links to relevant information, such as hotels, restaurants and cultural facilities. ·         Advertising within relevant journals and websites. ·         Direct marketing to delegates of previous IFLA Congress through email. ·         A robust public relations programme to generate media interest in the run up and during the conference and to keep it in the public eye. Marketing Mix             Marketing events is the process of employing the marketing mix to attain organizational goals through creating value for clients and customers. The organization must adopt a marketing orientation that stresses the building of mutually beneficial relationships and the importance of competitive advantages (Getz, 1997). The marketing mix is composed of product, place, price, and promotion (4Ps). Product – this refers to the event that is being offered Place – this refers to where the event is going to be held Price – this refers to the amount of money that will be required to be able to participate in the event Promotion – this refers to the activities that stimulate interest in the event (Burke & Resnick, 2000, cited in Davidson & Rogers, 2006) Environmental Considerations In line with the environmental ethos of the conference, we intend to strictly limit paper usage before and during the conference in favour of electronic communication. As well as being a greener policy, this should also help to significantly reduce a major budget line -item. Critical Discussion Venue Assessment There are adequate numbers of entrance and exit doors enough to accommodate the expected number of people that will go to the book fair. The entrance and exit signages are in appropriate positions. The signages are clear and easily read, with adequate lighting. There are also fire prevention devices such as sprinklers, fire extinguishers and smoke detectors.             There are also available translation facilities that are available in the convention halls, and the latest in digital audio-visual equipment will ensure that the presentations and speeches carry the maximum impact. The entire complex is covered by a high-speed wireless broadband (WI-Fi) network provided free of charge to delegates. In addition, offices and meeting rooms of various sizes are available for hire at reasonable rates. Conference Organizing Committee In order to make the event organized and successful, an organizational structure must be created and functional teams must be established (Silvers, 2004). The organization is headed by the Event Committee which will direct, overlook and appoint teams to handle the different tasks in event coordination. The event committee makes strategic decisions about the events and is responsible for the overall direction of the event, the preparation of preliminary budget, and the oversight of the event coordinator and event subcommittees.             Six (6) Group Managers will be in charge of the 8 departments. The Group Managers informs and controls the duties/tasks. Each department is composed of 10 to 20 members. The departments are: 1. Food and Catering – this department will be responsible for menu planning and providing snacks and beverages on-site. 2. Communication and Logistic – this department will be responsible for transporting the equipments and facilities to the exhibition hall. The communication and logistic department also will arrange the communication network before and during the event. This group will also be responsible for communication tools such as fliers, announcements, travel maps and others. 3. Transportation and Registration – this department will be responsible for coordinating and planning for arrival schedules for participants and exhibitors. This department will also be responsible for arranging a transport system to take the special guests to and from the airport. This group will also be in charge in the registration area. 4. Public and International Relations – this department will arrange domestic and international promotion of the event. This department is also responsible for setting up a media center within the venue and in publishing notices and announcements. Lastly, the public and international relations department will also shoot videos and photos of the event. 5. Site Development and Security – this department will be responsible for planning and supervising the entire venue, including the facilities. This department will also overlook basic utilities such as water, garbage disposal and electricity. The department will also coordinate with the security group of the venue and with a private security company for security and protection of the venue. The site development and security department is also in charge with the medical and emergency services. 6. Finance – this group will prepare the budget for the event and will develop an accounting system. Event Strategic Plan Anticipation             The event coordination team will focus on the marketing and promotion of the event during the anticipation stage. A Report on Communication Management at Ten Threads   Organizations survive not on the basis of their capital alone but more so on the ability of the organization to maintain employees’ that are highly efficient and competent. Personnel provide the locomotive of a company’s success- it sets up production and in meeting the sales of the company. For years, the company has established itself as a leader in the field of clothing manufacturing. However, with the establishment of a larger organization, the company has evolved into a larger organization with more complex needs in terms of communication, rewards and benefits and the management of the different centers of the company. Particularly, the company has to provide a communication program that will re-establish the relationship between the company, the management and the employees. Communication is at the core of the company’s loss of its top employees, the drop in sales and the seemingly lack of motivation of the employees. It is important to emphasize here the “sense of belongingness” within the hierarchy of the company. This feeling gives them the motivation to do more that what is expected of them and to attach themselves on the company because they belong. Within this framework, the company has to restructure its internal and external communication program that shall take into consideration this belongingness. Relationships between people constitute the structure and power distribution in a company. The development of a strategic internal communication strategy and its implementation can provide a number of benefits to organizations, such as keeping employees motivated and engaged, and sharing clear, consistent messages with employees in a timely manner. CEO DUALITY AND ITS IMPACT ON FIRMS PERFORMANCE         There are many firms that allow their Chief Executive Officer to handle dual position while some firms simply divide their duties to focus their job from another executive privilege, you may heard of President and CEO or Chairman and CEO which in itself is a different position but handled by the same person. This is not just a form of ownership but it can also be another reason like company preferences, staffing and attrition of members. Whatever reason it may be, the real issue here is how the CEO’s dual position has been handled with respect to their performance and the company’s position and effectiveness in management having one person handling two different position at the same time.       There are also times that CEO and Chairman have two different positions in the company but there will be time that they have to join this position in one because they may feel that the joint position in their company may strengthen the management decision making power and effectiveness in the cooperation relay to the board. This condition may be evident to their plan or testing methodology to work although there are companies who dealt with this successfully.       The effectiveness of the company involve the whole organization rather than the CEO but this position is basically the most powerful among them that is why CEO duality may have some impact on the part of the stock holder or the board of directors since the duality of the position gives additional power to the CEO and therefore manipulation of decision. Some board may have to question the duality and power especially if they are not performing well and their company is at stake.       Asymmetry and control is also a question of duality, a person who handles the same position may become powerful that they make take advantage of their position to control all parts of the organization. This usually happens in the government if the President will also be the Chief of staff, this duality may be so much powerful that may create a threat of autonomy and dictatorship in the government people arise to oust their President, this happens in many parts of the world. The question of the duality therefore is the over power and its mishandling.  The person who held the same position may soon be greedy to hold on to their position because of so much luxury, physical and monetary advantages and the fame they may experience during their terms.       Usually even some of the board of directors who has a big share of the company’s stocks is controlled by the CEO that is why they have even more power to stay longer in the company, the only time that some board will have a chance to vote out the present CEO is when they can buy a greater share of stocks in the company.  Therefore checks and balance may always be in advantage of the present CEO. Even the stock holders meeting could not withstand the power of the CEO duality.       There may be times that the duality of the CEO can be divided if the company is having a decline in their position or if the competition has taken over their performance to the market. This may be a ground for division or even replacement of the CEO but this is not the usual case. A person who dominate a position will retain his position in all its power that is why they may commit to their firms just to handled the same position and thereby their power at the same time.         The government may also act as moderator to handle the company’s constraint. They may have the power to legislation and resolution to corporate conflicts depending on the severity or judgment that constitute the corporate responsibility to its government and concerned consumer. There are also times that government may buy the authority to ownership of a company if they have the ability to do so. In this case the government will be the one to take full responsibility depending on their share to the company, they will be given the same seats and power to the board decision making power as well as the opportunity to vote for administrative positioning. Company’s like Sears and Roebuck, Chrysler, etc. have resolved their CEO-chairmanship dispute publicly.         In reality whether the firm have a CEO duality or they have joint or split their position doesn’t guarantee that the firm will be more successful. The real control and power of the firm is the ability of their CEO and top executives to perform their duty with pure passion and reliability and a desire to work towards the welfare of their company. LEADERSHIP BY EXPERIENCE         Companies and Organizations employed people through their experience especially among those positions that requires employees with leadership quality and potential, they may seek for employees who can show firmness and commitment at work so that they can be leaders in the future. Successful Leaders are also great followers they have the ability to adopt to the changing environment and they use their talents and intelligence to perfect their craft and to master their skills until they succeed. You probably heard of Thomas Alba Edison and how he works a thousand times to perfect his filament to create light bulb.       A person and employees with leadership quality seek opportunities to grow they never settled for less, Erin Brochovich is just an ordinary assistant employee and later found out that the community they have served is contaminated with dangerous chemical substances that trigger her interest to investigate on the case but because of her demeanor and absenteeism in her job she was then fired by her boss. During her investigation she found the causes of the contamination that have saved lives of people in the community including many businesses.       To make the story short they have filed lawsuits but lost many cases but they continue their effort to take the opportunities and won numbers of legal cases. Her boss hired him back; the court gave him at least 00 and a new car coming from the company who was the cause of pollution. She has regained justice within the community, she has saved lives of people and most of all she has protected the environment because of her never ending effort to seek the opportunities to turn away the contamination of environment. She had shown tremendous leadership quality by inspiring people about her willingness and persistence to stand with what she believed is right and later they all benefit.         Successful Leaders uses their resources of what they have without excuses, they believe that it is not what they do not have can make them successful but they focused on what they have and what they can do. They know their strengths and they are able to withstand challenges that may have come along the way, they can highly influence over others; in the Movie “Iron Man” Robert Downy Jr. was captured by the rebels and he was put on the cave but because of her ability he uses every scrap metals and chemicals to create a suit that can fly and fight over people with heavy weapons.        Although this is just a movie a person who knows how to utilize what they have is like a good economist who knows how to budget their resources, they will increase in assets and they will regain funds eventually they will be successful because it is the only path to being resourceful. They are natural leaders who can use their experience and ability to produce more than what they have, they found the power to change things using limited resources they are like cocoon turned into butterfly.       Great Leaders are goal setters, they prepared for the future and they think ahead of time they know what to do and they do what is important, they have focused on the present and they have been doing this because they have learned from their past experiences and it can be the driving forces to prepare for the challenges that may come in their business and personal life. As the saying goes experience is the best teacher so they can have set the goals and meets them in time. Definitely their experience has led them to be more careful in most of their undertakings but they never are afraid to try. They have a big vision in their company.      Experience Leaders strive for excellence and quality at work, they are passionate about their work to never really care for time, and they can work at much as 3:00 A.M. in the morning when ideas hit them to be able to fulfill their willingness to achieve their ambitions. They are good in dealings with their customers and co- employees; they are achievers not just in sales but also in customer relationship. They are innovators and risk takers to eliminate various disadvantage that is unnecessary to the growth of the company. They have used their experience to maximize production through team efforts and collective knowledge undertakings.       Good working experience creates great leaders, they strive for ethical achievement without fraud and deception but the result of their work is through honest participation and continuous effort to succeed. In spite of all odds they never usually quit they still realized their capacity to make things works. Great leaders can naturally maximize the four basic management fundamentals which is planning, organizing, directing and controlling which they have gained from their past experiences. They are the hero of the company basically they are always positive and highly motivated to success.
