Personal Development – Formative Assignment


As an operation Manager for Hong Kong office of a UK-based Executive Search firm, I have to handle mix of responsibilities such as secretarial, administrative, billing, sales and marketing project related.


I am responsible in human resource and internal communication by directing and supervising the overall operations of Research Team and Administration. Furthermore, communicate with other departments in order to review and enhance the operations workflow and procedures to achieve efficient and smooth operations, at the same time, handle hiring, benefits and pension scheme and administration operations from enrolment, contribution, switching to termination, ensure compliance with legislative requirements and control procedures.


            I also handle different financial-related activities such as preparing and controlling annual budgets of different business units, at the same time, analyze financial situation in to facilitate the decision-making and planning of management. I am also responsible in documenting important financial aspects of the company such as monthly management reports, cash flow projections, analysis, month-end management accounts, expense reports, bills payment and receivable, invoices, reports and correspondence. Furthermore, I am also responsible in some Information Systems of the company including designing and maintaining the operations processes and systems menu of the company, the filing system and the advancement of accounting system.

            There were 5 gaps which were distinguished in skill table, which are considered as important in my position, but I am currently lacking.


First is the organization and time management. This skill is important because of the nature of my position which involves different activities from different field such as human resource, IT, marketing and accounting. In order to improve my organizational and time management skill, it will be important to attend one-day seminar about the said skill and gain experience by practicing. This will be possible because the one-day seminar can be done online because it focuses on theoretical aspects. Then, it can be applied in everyday responsibilities in the organization. My position will be a perfect On-The-Job training because it requires good management of time, because of varieties of things and responsibilities that I must handle. The progress can be monitored by diary. In connection, it is also important to focus on planning skill by attending training about the said field. This will be possible because the company can provide me time, which I can use to focus on the training. This can be monitored by different tests which will be given by the instructors, and will be taken note in the diary.


On the other hand, delegation can also be attained by training about human resource and seminars which will require to work in pairs or in small groups. This will enable me to learn on working with other people. In order to make this activity possible, the activity can be done inside the company by letting other employees in the office to cooperate. The result of the activity can be monitored by group activities and examinations.


Oral communication can be improved by completing a module about oral communication and grammar as well as attending a seminar which will help to improve self-esteem. This is important because having a high self-esteem will help me to be more confidence in talking with other people, particularly during formal presentation. I can take the course and the seminars after working hour. Therefore, it will not affect my responsibilities and performance in the office. The progress will be measured by online and actual tests regarding vocabulary acquisition and fluency, together with the ability to speak in public.


Having great skill in information technology will give me edge in my position, therefore it will be important to attend online IT tutorial, at the same time attend seminars about the latest technologies and software that are used in the business world, particularly those which can be applied in my company, in order to develop my knowledge in IT. This will be possible because of the vast selections of online and offline resources which can be used to study the subject, together with the different online tutorials that are available in the Internet.


By doing this, I believe that I can do my job well, at the same time, help my co-worker to be developed, and help to attain our organizational goals and objectives.
