Introduction

Singapore is the hub of diversity in Asia. It is one of the regions in the continent where English and Chinese mesh in one whole mixture of class and variety. Locals and foreigners flock the street of one of the oldest Asian cosmopolitans for business, pleasure, or for both. The city state is an amalgamation of western and eastern culture. It is a state that looks prospectively onwards the future without letting go of its roots. It is this existing diversity in the land that makes it important to celebrate its reality. This could be done by preparing a convention on cultural diversity.


Event Background Brief

Singapore is considered as the international convention, tourism and exhibition capital in Asia. This event intends to help the Singapore Tourism Board and the Government in general in fostering better relations with the tourism and the consulates situated in the city state. This is especially true for states where most of the foreign employees working in Singapore come from. The convention shall be held in the Suntec Singapore International Convention and Exhibition Centre. The intention is to allow consulates from different states that have diplomatic relations with Singapore to provide booths that would feature some of the local merchandise that distinctly reflect on their own cultures. Along with these, this shall be a week long cultural affair that highlights the respective attributes of the participating states. This is to present the existing diversity in the city state. The said convention shall focus on the contemporary social structures that are present in the said countries.     


 


Feasibility Study

In determining whether or not the event is feasible, the SWOT Analysis shall be used. Specifically, the event’s strengths, weaknesses, opportunities, and threats shall be presented in the subsequent subcategories.  


Strengths

The thrust of the event is a good way to increase the relationship between countries with diplomatic relations in the city state. The convention shall incur minimum costs as the individual consulates and embassies shall fund their respective booths. Moreover, the event shall draw in a respectable number of crowds as the event team shall ensure that entertainment will be provided along with the prescribed amenities for the participants.  


Weaknesses

The event is more of a festival of sorts celebrating the diversity in Singapore. This basically is festive in nature; hence serious social political agenda shall not be addressed in the process. The event shall also be directly working with the Singapore Tourism Board which also means that the authority of the events team shall be limited or even compromised to some extent. The team is also face the problem of being undermanned as the manpower of the team basically limits itself to the team members and the individual personnel of the consulates and embassies respectively assigned to their booths.


 


Opportunities

The event shall serve as a venue where the Singapore Government may be able to show appreciation on these consulates and embassies on their help in making the economy of Singapore one of the top economies in the world. It may be possible that the event could be considered by the Singapore Tourism Board to be an annual outing.    


Threats

The funding of such a big event may be limited as the event planners will have to find sponsorship aside from the Singapore Tourism Board. In the same manner, there is a considerable doubt as to whether or not all the consulates and embassies will be able to contribute to the event. The number of participating consulates and embassies will also affect the possible participating tourists, expatriates, and overseas workers in the event.


Event Organizational Structure

The figure below presents the organizational structure of the events team.

As seen above, the team only has seven main officers that would manage the entire workforce. The overall workforce will consist of 25 individuals hired specifically for the week-long event. These include the security group, the maintenance committee, and those that will help the performers.   


Event Strategic Plan

The strategic plan provides for the preparation of the event prior to the actual date. The event shall have the following strategic plan based on the six dimensions of event coordination.


Anticipation

In order to build anticipation, the promotions manager shall use the radio stations, print, and even the use of technology to build up the event. Radio spots shall be negotiated with different radio stations. In the same manner, it shall also be posted as an event in major networking websites such as friendster, myspace, and facebook. Flyers will also be distributed all over the city. Tarpaulin banners will also be placed strategically in specific parts of Singapore to disseminate the information.


Arrival

The events team shall wear a common shirt printed “events staff” at the back so as to make them accessible and easy to spot on the part of participants who needs assistance. The booth officers shall be the ones meeting the participating consuls and embassies and usher them to their respective booths which were completed days prior the event. Accommodations with reference to the food, water, and other requirements of the participants shall be provided by the events team. With regards to the individuals participating as audience in the event, a help desk shall be placed in the venue to give assistance to anyone who requires it.


Atmosphere

The audience should be able to visibly recognize the warning signs placed near electrical devices such as speakers and the like. The area should be constantly kept clean to avoid any accidents. In the same manner, basic amenities like bathrooms should also be kept spotless. Security should also be visible to avert any unscrupulous actions in the venue.  


Appetite

Complementary food should be given to the representatives of participating consulates and embassies as well as the events team. A buffet shall be served in a restricted area where only the representatives and the team may have access. On the other hand, the audiences shall have to buy food from the respective booths.


Activity

The entrance for the audience is free as well as the mini-concerts and presentations provided by the events team. In the same manner, certain activities that will give away freebies to the audience shall also be conducted. On the part of the participating consuls and embassies, an awarding ceremony shall be made in the last day of the festivities. Awards on the best booth as well as the provision of the certificate of participation shall be given in this activity.  


Amenities

The audience shall enjoy not only a free week-long show, but also other freebies from the events team. This excludes those that the individual booth may offer in the process. In addition, a formal letter of appreciation shall be forwarded to the embassies and consuls that participated in the event.  


Sponsorship Proposal

The sponsorship shall primarily be from the Singapore Tourism Board. However, the finances and the freebies shall come from companies who have agreed to sponsor the event provided that their products are sold within the vicinity. In the same manner, donations from respective consuls and embassies shall be acquired for the completion of their respective booths. Sponsorship shall be acquired from certain commercial establishments that are known to be openly owned by individuals coming from a particular country of origin which is also participating in the event. For instance, fast food chains from the United States, confectionaries from Belgium, or Delis offering food from the nearby ASEAN countries shall be recruited for sponsorship.   


Risk Assessment and Safety and Security Plan

The conduct of the event appears to manifest a significantly diminutive risk. It could be quelled by imposing security in the event. The security of the event shall be composed of two bodies, the internal security of the convention centre and the one hired by the events team to keep things in order.


Conclusion

The event celebrates the diversity in existence in the city state of Singapore. The discussions above show that the event will be a very demanding endeavour. It will only be successful if all of the members of the team will contribute and do the best that they can in realising their respective duties. In the same regard, the success of the event will also depend on the manner on which the events manager is able to consistently follow the strategic plan of the event without compromising any added financials or added funds. In satisfying the six event dimensions, the ends of the event will be achieved.
